Handling client disputes before they escalate

Most disputes are really communication failures. How to defuse them early.

The Builder Times Newsroom·21 Aug 2026

Disputes are usually about expectations

Most building disputes don't start with bad workmanship — they start with a gap between what the client expected and what they got. Managing expectations throughout the job prevents the majority of conflicts before they form.

Address it early and calmly

When a client raises a concern, engaging early, listening properly and responding professionally usually defuses it. Letting a grievance fester — or reacting defensively — is what turns a conversation into a formal dispute.

Documentation is your backstop

If a matter does escalate, your records — contract, variations, correspondence, photos, inspection notes — are what protect you. Builders who document as they go are in a far stronger position than those relying on memory.

Know the pathways

Each state has dispute resolution avenues for building work, often starting with conciliation before any tribunal or court. Understanding the process keeps you calm and in control if a dispute can't be resolved directly.
